[SUMC] AGM reminder - new committee vote!

Hi everyone,

Just a reminder that the annual AGM meeting will take place on* Friday 13th
of May at 6pm* in lecture room 5, Fulton House. All current club members are
invited to attend. The main purpose of the meeting is to hold votes on some
important issues to take effect next year, and to choose the *new committee
for the academic year 2011/2012*.

Please read the updated committee position descriptions below. If you want
to be considered for any of the roles then you must attend the meeting and
should prepare a very short speech about why you should be chosen for the
position. Attending club members will then vote in the new committee.

Also attached is a copy of the agenda for the meeting, and a copy of the
constitution.  Please read these before Friday.  If you have anything you
wish to put on the agenda, or any proposed changes to the club and
constitution, please email us back in the next few days.

Even if you don't want to be on the committee next year it's important to
attend so that your vote is counted.

Club committee positions - roles and responsibilities*


*President (currently Dave Sperring)*

This is the person in overall charge of the club and the committee, whose
role it is to ensure that the club functions effectively. The president is
responsible for all aspects of the club, including delegating to other
committee members, arranging regular committee meetings (usually about once
a fortnight), and chairing them. The president makes regular visits to the
Athletic Union to try and sort things out. They should be keen, dedicated,
organised and decisive  This person should also have a reasonable amount of
knowledge and experience of climbing.

*Secretary (currently Hannah Buckland)*

The secretary’s main task is to take minutes at committee meetings, and to
distribute these so that an official record is kept of decisions. They are
also the main contact for the club. The secretary’s busiest time is at the
beginning of the year, when it is their task to add all the new club
members' details to the membership database and mailing list. The secretary
should be a well organised and committed person.

*Treasurer (currently Jamie Greig)*

The treasurer is responsible for all things money-related within the
club. It’s the treasurer’s task to keep the money tin and to collect money
on club trips and for clothing etc. The most important part of the
treasurer’s role is to then go the Athletic Union regularly to pay fees. The
treasurer needs to be very organised and have some maths skills. They should
also come on most club trips. Ideally, they shouldn’t have a criminal
background either…

*Gear Representative (currently Matthew Edwards)*

The gear rep. is the person who looks after all the club’s equipment. This
basically means that you have a house full of smelly shoes, rope, harnesses
and kit, but it's not all bad. The person is responsible for maintaining and
checking the gear, organising it for club trips, making it available [where
possible] to members for their personal use, making sure all kit is returned
etc etc, but not cleaning it. The advantage of having the kit is that you
will learn a fair bit about the equipment involved in climbing, and also you
will have all the kit at your house available to you whenever you want, so
if you want to go climb chances are all you'll need is a seconder!
Realistically, the gear rep. needs access to a car, as there is often too
much gear to carry. They should be fairly knowledgeable of climbing
equipment, but should be able to pick it up as they go along.

*Social Secretary (currently Rosie Dyer)*

The social sec. is responsible for organising club socials.  They must be a
keen and enthusiastic member, who is approachable, outgoing and friendly.
Also, they should be very organised and committed, so that regular socials
occur.

*Management Representative (currently Tom Webber)*

The management rep. is normally an older club member who has been on the
committee before and is quite experienced.  Their main role is to offer
advice to the committee, and step in to help if they get into difficulty.

*Trip Secretary (currently Tom Dudley)*

The trip sec.’s role is to organise accommodation and other details for club
trips away. The trip sec. needs to be an organised person who can
phone/email different people to sort accommodation.

*Training Officer (currently Amy Griffiths)*

The training officer is responsible for organising the teaching of new
members at the start of the year, including organising the teaching
induction for older members at Dynamic Rock. They should encourage members
to progress their personal climbing through running sessions (e.g. learn to
lead sport/trad) and skills workshops (e.g. lead belaying/ fear management).
They are also involved with organising competitions and encouraging members
to compete. They should have a good knowledge of most aspects of climbing,
but more importantly should be organised and good at writing emails.
